Help Scout integration guide
How to keep Help Scout up to date
Help Scout Docs articles go wrong when a feature in your product changes and nobody tells the person who owns the article.
Keeping help centers accurate at
The short answer
- What Help Scout offers
- Your Help Scout knowledge base comes with features like a Docs report of failed searches and article ratings, plus a History tab for restoring earlier versions.
- Where it stops
- Those signals arrive after readers hit a wrong article, because nothing in them can see that your code or feature flags changed.
- Where Solo fits
- Solo compares your recent code changes with your articles, flags the ones a change made wrong, and drafts fixes that a person approves before anything is published.

Why it matters
Why accurate docs matter
A feature in your product changes on Tuesday, and by Friday the article that describes it still shows the old setting. Customers follow the old steps, AI Answers repeats them, and nobody notices until the conversations start coming in.
Reduce tickets with self-serve support
When an article matches your product, readers finish the task and never reach your inbox or the Beacon contact form. A wrong one sends them there with a question that starts with the article that didn't work.
AI Answers resolves more conversations
Help Scout AI Answers replies from your published Docs articles, and edits to Docs reach it automatically. A wrong article gets a reply that's just as confident, which then shows up as "Contact not helped" in Insights.
Docs articles show up correctly in search
Public Docs articles appear in search engines and get quoted by AI answer engines. A wrong one gives readers the wrong answer before they ever reach your team.
Built-in tools
What Help Scout Docs already offers for knowledge base maintenance
Help Scout gives you real signals about your docs: what people search for, how they rate articles, and where AI Answers falls short. None of them can see that your product changed, so a wrong article stays live until a reader runs into it.
| Stage | Help Scout's features | Missing features |
|---|---|---|
| 01Know upcoming changes | Help Scout has no feature for this stage, so notice of a change to your product has to come from outside the platform, like a product manager or a developer. | Nothing warns you that an article is about to become out of date. Help Scout doesn't see your code, feature flags or launch plans, so notice of a change depends on someone telling the article's owner. |
| 02Identify outdated articles | The Docs report lists failed searches, most-viewed articles and happy, neutral or sad ratings per article, and the AI Answers Insights tab counts conversations where the contact wasn't helped. | The Docs report and AI Answers Insights arrive after a reader has hit the problem, and none of them says which article a change to your product made wrong. |
| 03Draft updated copy | Drafting happens by hand in the Docs editor, where an article stays unpublished until you select Publish. | Help Scout gives no context on what has changed in your product and proposes no updated copy, so drafting is by hand in the Docs editor. |
| 04Collaborate on updates | By default every Help Scout user can edit, publish and delete articles, and Account Owners and Administrators can restrict that in the permission settings. | Permissions control who can edit, not what is wrong, so reviewers still have to find out which articles a change to your product touched. |
| 05Publish changes | The Publish and Update buttons push an article to your docs, the History tab lets you preview or restore earlier versions, and AI Answers picks up the change without a resync. | Publishing is a manual step. Nothing publishes an update when a feature flag turns on, so an article goes live on someone's schedule, not when your product changes. |
With Solo
Knowledge base management with Solo on top of Help Scout
Help Scout can't see your codebase, so it can't tell which articles a change to your product made wrong. Solo reads both your code and your docs, flags the articles a change made wrong, and drafts a fix for each one. A person on your team reviews and approves every fix before it goes live.
What Solo adds to Help Scout's built-in tools
| Stage | Help Scout without Solo | Help Scout with Solo |
|---|---|---|
| 01Know upcoming changes | Help Scout has no feature for this stage, so notice of a change to your product has to come from outside the platform, like a product manager or a developer. | Solo reads recent code changes from your connected repositories on a daily or weekly schedule and turns each one into a short description of your product change, so the owner hears without being told. |
| 02Identify outdated articles | The Docs report lists failed searches, most-viewed articles and happy, neutral or sad ratings per article, and the AI Answers Insights tab counts conversations where the contact wasn't helped. | Solo searches your articles for text your product changes contradict and shows the affected text, the reason and the code change behind it, before a reader hits the problem. |
| 03Draft updated copy | Drafting happens by hand in the Docs editor, where an article stays unpublished until you select Publish. | Solo drafts replacement text for the sentences a change to your product made wrong, and flags images that may be outdated when the text and code support it. |
| 04Collaborate on updates | By default every Help Scout user can edit, publish and delete articles, and Account Owners and Administrators can restrict that in the permission settings. | Reviewers see the old and proposed text side by side with your code change behind it, and accept, edit or reject each suggestion. |
| 05Publish changes | The Publish and Update buttons push an article to your docs, the History tab lets you preview or restore earlier versions, and AI Answers picks up the change without a resync. | Accepted changes go to the existing article, or into a Solo draft that a reviewer publishes once it has been compared with the live article. Solo can hold the update until the feature flag is enabled, so the Docs article changes when your feature does. |
Questions
Questions about keeping Help Scout articles current
The questions Help Scout teams ask most often before connecting Solo to their docs.
How do I know which Help Scout articles are out of date?
Help Scout gives you signals, not answers. The Docs report lists failed searches and how readers rated each article, and AI Answers shows the conversations where the contact wasn't helped. None of them can tell you that a setting was renamed last week, so that comparison has to start from your product itself.
Does Solo replace Help Scout?
No. Your articles, collections, docs and Beacon stay in Help Scout, and readers keep using the same URLs. Solo connects with a Help Scout API key, reads your articles and sends the changes your team approves back to the existing article.
What can Solo change in Help Scout?
Solo can update the text of an existing article, and it can publish a new article into an existing collection as published or as a draft. It doesn't create or manage Help Scout sites or collections, and it doesn't delete articles. A person reviews every change first.
Will Solo publish to Help Scout without review?
No. Each suggestion shows the old and new text, and you can accept, edit or reject it. You can also stage accepted changes as a Solo draft and select Publish Draft when you're ready. If the Help Scout article changed after the draft was created, Solo warns that publishing can overwrite the newer edits.
How does Solo know that a feature in your product changed?
Solo reads file changes from your connected repositories on a daily or weekly schedule and turns them into short descriptions of changes to your product. It then searches your Help Scout articles for text those changes contradict. It can also show the feature flags tied to a change, along with their rollout status, on the review item.
How often should I review my Help Scout help center?
Review the articles a launch touches whenever you ship, and do a full pass of your docs on a regular schedule. Reviews on a calendar alone miss the changes that land in between. Failed searches and rating drops in the Docs report help you spot those gaps, but only after readers have run into them.

A demo runs Solo against your own Help Scout docs and codebase, so the articles it flags are yours.
